Conference Checklist
Below is a list of important questions to consider when planning an event. Work orders and catering orders should be submitted 2 weeks in advance of the event.
Date: When selecting a date consider:
- Does it conflict with major institutional events
- Does it fall on a holiday
Location: When selecting a location determine:
- Approximate number of attendees
- Preferred set up – i.e. classroom style, theater style
- Dining needs
- Audio visual needs
Parking: What will the parking needs entail
- Will your guests be coming by way of bus
- Was parking services notified
Catering: What meals will be provided:
- Continental breakfast/ morning refresh
- Lunch
- Afternoon break
- Dinner
- Table clothes and skirting for registration and display tables
Technology Requirements
- Do you require internet access
- Will you be using power point or other PC Programs
- Will you be bringing a MAC laptop
Incidentals: Will you need
- A registration table
- Display tables
- Easel
- Coat racks
For Residential Conference Planning consider;
- Type of housing preferred – Traditional, Suite Style or Apartment Style
- Will you require linen service
- Will there be any early arrivals or late departures
